Automated text reminders are scheduled SMS messages that go out before an appointment without anyone pressing send. Your calendar or booking system holds the appointment, the reminder platform reads it, and a text lands on the customer's phone at the interval you set. That much is commodity. Every platform on the list below does it competently, and if a vendor is selling you on the sending, they are selling you the easy half.
The two things that actually separate these products are what they cost per message and what happens when somebody texts back.
Start with cost, because the advertised monthly price is almost never the real one. Three separate charges stack on top of it. First, texts bill per segment, not per message: a reminder that runs past 160 characters bills as two, so a message you thought cost five cents costs eleven. Second, the plan allowance runs out and you pay overage, and the overage rate swings by a factor of four across vendors we checked, from $0.03 to $0.12 per message. Third, US carriers charge a per-message pass-through fee on top of whatever your platform charges, plus a one-time A2P 10DLC registration, and most vendors simply do not mention either on the pricing page. We checked seven platforms on August 12, 2026, and only two of them printed a carrier fee anywhere a buyer would find it.
Then there is the reply. A reminder is a one-way message in most systems, so when the customer answers "can we push it to Thursday?" at eight in the evening, that reply sits in an inbox until somebody opens it in the morning. By then the appointment you were protecting is gone anyway. How many characters can a text appointment reminder be?
One SMS segment is 160 characters of standard GSM text, and going one character over splits the message into two segments that bill separately. Emoji and curly quotes are worse: a single one switches the whole message to Unicode encoding and drops the limit to 70 characters. Keep reminder templates under 160 plain characters and you cut your per-reminder cost in half.
What should a text appointment reminder say?
Name the business, give the date and time, tell the customer exactly what to do next, and include an opt-out. For example: "Lakeside Dental: your cleaning is Tue Mar 4 at 2:15pm. Reply C to confirm, R to reschedule. Reply STOP to opt out." That is 108 characters, so it bills as one segment, and it names the sender, which carriers expect.
Do I need 10DLC registration to send automated text reminders?
Yes, if you are texting US numbers from a standard 10-digit business number. Twilio states plainly that anyone sending application-to-person messages over a 10DLC number to the US must register, and that unregistered senders incur additional carrier fees and heavier filtering. Registration means a brand record identifying your business and a campaign record describing what you send.
Are automated reminder texts legal under TCPA?
Appointment reminders sit on the safer side of the line because the customer asked for the appointment, which is very different from a marketing blast. The details still matter: identify your business, honor STOP immediately and permanently, keep to reasonable hours, and do not slip a promotion into a reminder, because that changes what kind of message it is and what consent it needs.
