Gymdesk pricing runs from $75 to $200 a month if you process through Gymdesk Payments, and from $100 to $240 a month with your own processor, set only by your count of active members: Micro up to 50, Small 51 to 100, Medium 101 to 150 and Large 151 to 250. Above 250 members it is a sales quote. Every tier gets the whole platform, unlimited staff and a gym website.

The extras are where the bill grows: $50 a month per additional location ($100 on your own processor), $100 for the branded app, $100 for door access up to three doors, and texting billed by usage at rates Gymdesk does not print. One thing to know before you budget: the member bands in the page code still say 101 to 200 and 201 to 400, and several price sites copied them, so a 180-member gym is often quoted $150 when the live card says $200.

What you get

Everything one AI agent handles

1

You pay for headcount and never for features

Gymdesk has one product and five sizes. A 40-member BJJ academy and a 240-member fitness gym get the same billing, booking, attendance, rank tracking, marketing automations and website. The only thing that moves the plan fee is how many people held an active membership that month, and visitors, frozen members and prospects in the CRM do not count.

2

The payments discount is $300 to $480 a year

Processing through Gymdesk Payments or an approved partner takes $25 a month off Micro, Small and Medium and $40 off Large. That is 25% off the smallest plan and about 14% off Medium. Gymdesk does not print the Gymdesk Payments rate on these pages, so ask for it: every 0.1 point of difference on $25,000 a month in payments is $25, which is the whole discount.

3

Cost per member falls as you grow, except at the band edges

At the top of each band Gymdesk costs $1.50 a member on Micro, $1.00 on Small and Medium, and $0.80 on Large with Payments. Right after a jump it is less kind: member 51 moves you to $100, so a 51-member gym pays $1.96 a head. If you sit just over a line, a few frozen memberships can drop you a tier legitimately.

4

Check the band before you trust a quote

The visible price cards say Medium is 101 to 150 and Large is 151 to 250. The structured data in the same page still says 101 to 200 and 201 to 400, and several price-comparison sites copied those older bands. A 180-member gym reading them expects $150 a month; the live card charges $200. A 300-member gym is told $200; the live page sends it to sales.

5

Locations, app and doors are the real add-ons

A second location is $50 a month with Payments or $100 with your own processor, sharing one member database and reporting. The branded app is $100 a month with the first month free. Door access is in beta at $100 a month for up to three doors and $29 for each door after that, with hardware and installation quoted separately.

6

Texting is metered and the rate is not printed

Email and push notifications are included. SMS is a usage add-on: a monthly fee for a dedicated texting number plus a per-message rate that Gymdesk says varies by region, added to the invoice. Gymdesk runs the US 10DLC registration in the app and passes the carrier fees through at no markup. You cannot port your existing gym number.

7

Where Gymdesk wins

For a martial arts school, BJJ academy or small fitness gym, Gymdesk is one of the few platforms that prints every price, includes a website on every plan, has no setup fee, no contract and no exit fee, and lets you export your members, attendance, payments and waivers yourself. Its member app, rank tracking and Smoothcomp competition link are built for combat sports gyms.

8

Where an AI agent fits next to it

Gymdesk two-way texting lands replies in an inbox for a staff member to answer, and its automations send messages you wrote in advance. None of the Gymdesk pages we read mention an AI that replies to a new lead. MessageAgent answers the price, schedule and trial class questions on Instagram, Facebook, text and web chat in seconds, books the intro and hands the lead to your staff.

Common questions

Gymdesk pricing questions

How much does Gymdesk cost?

Gymdesk costs $75 to $200 a month with Gymdesk Payments and $100 to $240 a month with your own processor, according to gymdesk.com/pricing on 14 October 2026. The tier depends only on active members: up to 50, 51 to 100, 101 to 150 or 151 to 250. Gyms above 250 members get a quote. All prices are in US dollars, month to month.

Does Gymdesk charge per member?

Not per member, per band. Gymdesk charges a flat monthly fee for the band your active member count falls in, so 60 and 100 members both pay the Small Gym price of $100 with Gymdesk Payments. Visitors, frozen or cancelled members and prospects are not counted, and staff accounts are unlimited on every plan.

Is Gymdesk cheaper with Gymdesk Payments?

The software is. Processing through Gymdesk Payments or an approved partner saves $25 a month on Micro, Small and Medium and $40 on Large, $300 to $480 a year. The Gymdesk Payments processing rate is not printed on the pricing page, so compare it with your current processor before switching: a higher rate can cancel the discount.

How much does Gymdesk charge for an extra location?

Each additional location costs $50 a month if you process with Gymdesk Payments or a preferred partner, or $100 a month with your own processor. The first location is included in the plan. All locations share the same member database, staff accounts and reporting, so a two-location Medium gym on Gymdesk Payments pays $200 a month.

How much is the Gymdesk branded app?

The branded member app is $100 a month, with the first month free, according to the Build Your Price tool on 14 October 2026. It gives your gym its own listing on the App Store and Google Play. It is optional: every plan already includes the standard Gymdesk member experience and a responsive gym website.

Does Gymdesk charge for text messages?

Yes. Email and push notifications are included, but SMS is a usage-based add-on: a small monthly fee for your texting number plus a per-message rate, added to your Gymdesk invoice. Gymdesk does not publish the rate and says it varies by region. US 10DLC registration fees are passed through from the carrier at no markup.

Does Gymdesk have a free plan?

The pricing page offers a 30-day free trial with every feature and no credit card, then the paid tiers. It does not list a permanent free plan; a competitor blog describes a limited free version, which we could not find on gymdesk.com. There is no setup fee, no contract and no cancellation fee, so a gym can leave at any month end.

What does Gymdesk cost for 200 members?

On the live price cards, 200 active members falls in the Large Gym band, 151 to 250, at $200 a month with Gymdesk Payments or $240 with your own processor. Some third-party sites still list Medium as 101 to 200 at $150, because the page code carries the older bands. Budget for $200.

Is Gymdesk cheaper than Zen Planner?

At every member count we checked, yes. At 100 members Gymdesk is $100 with Payments or $125 without, against $189 for Zen Planner Studio and $288 for Essentials, which adds the website Gymdesk includes. At 150 members it is $150 or $175 against $229 and $328, according to both vendors on 14 October 2026.

Is Gymdesk cheaper than PushPress?

On the plan fee, usually. Gymdesk Small is $100 with Payments against $159 for PushPress Core Pro, and PushPress does not raise its price with members. PushPress Core Free costs $0 but charges 4.99% plus 30 cents on cards. Compare total cost including processing, because the payment rate often outweighs the software fee.

Does Gymdesk have an AI chatbot for leads?

Not on the pages we read on 14 October 2026. Gymdesk offers lead capture forms, automated email and text sequences, and two-way texting where a staff member answers replies. An AI that answers a new lead in an Instagram DM at 10pm and books the trial class needs a separate tool, such as MessageAgent at $199 a month.

Can I use MessageAgent with Gymdesk?

Yes, side by side. Members keep paying, booking and checking in through Gymdesk. MessageAgent handles the conversation before someone becomes a member, on Instagram, Facebook, text, WhatsApp and web chat, answers price and class questions from your own information, books the intro and passes the qualified lead to your staff with the full chat.
