Patient appointment reminder software sends an automated text, email, or voice reminder before a scheduled visit, then records who confirmed and who did not. Every product in this category does that competently. The two things that actually differ are what happens when the patient texts back asking to move to Thursday, and whether you can find out the price without a sales call.

We opened seven healthcare vendor pricing pages first-hand on 10 August 2026. The result is the most price-opaque category we have mapped. Exactly one vendor publishes a number at all: Weave shows a starting price of $199 a month on its Pro plan, and then routes Elite and Ultimate to a Get Pricing button. NexHealth asks you to Tell us about your practice to get a quote. Solutionreach lists four packages and publishes the monthly message allowance for each one (1,750, 3,500, and 4,500 messages, then tailored for enterprise) without publishing a single dollar figure next to them. Luma Health and RevenueWell both return HTTP 404 on their pricing URLs. Klara's pricing URL redirects off its own domain entirely, to the patient engagement page of ModMed, which acquired Klara in February 2022.

That opacity has a practical consequence for a practice manager with a budget to defend. You cannot build a shortlist from published information, so you end up in four demo calls to learn four numbers, and the numbers arrive attached to an annual contract. For comparison, the general-purpose reminder tools in the same table publish everything: Apptoto starts at $30 a month plus $10 per additional user, and Acuity is $16, $27, and $49 on the annual term, though text reminders require Standard or above.

The second difference is the one that decides your no-show rate. A reminder is a one-way message in most of these systems. When the patient replies at 8pm asking to move the appointment, the reply lands in a queue and waits for the front desk to open. That is where the appointment you were protecting quietly becomes a no-show. MessageAgent sends the reminder and then keeps the thread alive: the AI reads the reply, checks genuine availability, offers the open slots, moves the visit, confirms it, and escalates to your staff only when a person actually has to decide something. Pricing is published and flat at $79, $199, and $499 a month with the AI included and carrier fees passed through at cost.

We are direct about the limits, because this is healthcare. MessageAgent is a messaging and scheduling layer, not an EHR, not a practice management system, and not a clinical records tool. It is built to keep protected health information out of the conversation by design: the agent confirms, reschedules, sends forms links, and answers general practice questions such as parking, hours, and what to bring, then routes anything clinical to your staff rather than discussing symptoms, results, or treatment. Talk to us about a business associate agreement before you go live. If you need charting, claims, or a native two-way write-back into Dentrix, Epic, or athenahealth, several vendors in the table below are a better fit than we are.

Side by side

Patient appointment reminder software compared

We opened every one of these pricing pages on 10 August 2026 and recorded exactly what was published. Where a vendor prints no number, the table says so rather than repeating a figure from a directory as though the vendor had stated it.

Vendor What it is Published price What happens when the patient replies Best for
MessageAgent One AI agent across text, web chat, email, WhatsApp, Instagram DM and Messenger, plus a light CRM Yes. Flat $79, $199 and $499 per month, AI included, carrier fees at cost The AI reads it, offers genuinely open slots, moves the appointment and confirms it in the thread Practices that want the reschedule handled automatically rather than queued overnight
Weave Phones, texting and patient engagement suite aimed at dental and optometry Partly. A starting price of $199 per month is shown on the Pro plan; Elite and Ultimate say Get Pricing Two-way texting answered by front desk staff Dental and optometry practices already running Weave phone systems
NexHealth Patient scheduling and communications with deep practice-system integration No. The page says Get pricing for your practice and Tell us about your practice to get a quote Two-way messaging answered by staff Practices that need real scheduling write-back into their existing system
Solutionreach Full patient engagement and retention suite for medical and dental groups No. Four packages, all quote-only. It publishes message allowances of 1,750, 3,500 and 4,500 per month with no price beside them Two-way texting answered by staff Multi-provider and multi-location groups wanting one broad engagement suite
Luma Health Patient success platform covering scheduling, reminders and intake No. The pricing URL returns HTTP 404. Third-party trackers suggest roughly $250 per user per month, which is not a vendor figure Staff answer, with automation rules in front Health systems and larger multi-specialty groups
Klara Call-to-text patient messaging, now part of ModMed No. The pricing URL redirects off-domain to ModMed patient engagement Call-to-text threading, answered by staff Practices already standardized on the ModMed EHR
RevenueWell Dental marketing and patient communication platform No. The pricing URL returns HTTP 404. The site states monthly and annual contracts and free trials are available Automated calls, texts and emails, replies handled by staff Dental practices buying reminders and marketing together
Apptoto General-purpose calendar reminder tool, not healthcare-specific Yes. From $30 per month plus $10 per additional user, messages billed as credits Two-way messaging answered by your staff Small practices wiring reminders into Google or Outlook calendars
Acuity Scheduling Booking links with reminders attached Yes. $16, $27 and $49 per month annually. Text reminders require Standard or above Reminders only, no conversation layer Solo practitioners who want cheap booking plus reminders

Checked against each vendor website on 10 August 2026. Six of the seven healthcare-specific vendors publish no price, and the seventh publishes only its entry tier. Product and company names are trademarks of their owners and are referenced nominatively for comparison. Vendors change packaging without notice, so confirm current terms directly before signing.

What you get

Everything one AI agent handles

1

The reply is where no-shows are won or lost

Firing a scheduled text is a solved problem and every vendor here does it. The patient who answers "can we move it to Thursday?" at 8pm is the unsolved part. If that reply waits until the front desk opens, the slot usually goes empty. The AI answers it immediately, offers real openings, and rebooks.

2

Built to keep PHI out of the thread

The agent confirms visits, reschedules, sends a forms link, and answers general practice questions like parking, hours, insurance accepted, and what to bring. Anything clinical, including symptoms, results, and treatment questions, is routed to your staff instead of being answered. Ask us about a business associate agreement before launch.

3

A price you can actually read

Flat at $79, $199, or $499 a month with the AI included and message fees passed through at cost. Six of the seven healthcare vendors we checked on 10 August 2026 publish no price at all, and the one that does shows only its cheapest tier.

4

Reminders on the channel the patient uses

Text, email, WhatsApp, web chat, Instagram DM, and Messenger run off one AI brain with shared memory. A patient who booked through a DM is not reminded by an email they will never open, and the agent remembers the earlier exchange when they reply.

5

TCPA, 10DLC and AI disclosure handled

Appointment reminders sit on the safer side of the line because the patient asked for the appointment, but the mechanics still matter. STOP is honored instantly, your practice is identified in the message, 10DLC registration is managed for you, and the agent discloses that it is an AI.

6

No annual contract to find out the number

Month to month, published tiers, and no demo required before you learn what it costs. In a category where the standard path to a price is four sales calls and an annual commitment, being able to budget in an afternoon is worth something on its own.

Common questions

Patient appointment reminder software questions

What is patient appointment reminder software?

Patient appointment reminder software automatically sends a text, email, or voice message before a scheduled visit so the patient shows up, and so the practice learns early when they cannot. It pulls appointments from your scheduling or practice management system, sends on a timing rule you set, and logs confirmations. Better systems also handle the patient reply, so a reschedule request can be resolved in the same thread.

How much does patient appointment reminder software cost?

Very few healthcare vendors will tell you. Checking seven pricing pages on 10 August 2026, only Weave published a figure, a starting price of $199 a month on its Pro plan, with its two higher tiers hidden behind a Get Pricing button. NexHealth, Solutionreach, Luma Health, Klara, and RevenueWell publish nothing. General-purpose tools are cheaper and transparent: Apptoto starts at $30 a month and Acuity at $16. MessageAgent is flat at $79, $199, or $499.

Are text appointment reminders HIPAA compliant?

They can be, and it depends on the content and the configuration rather than the vendor logo. A reminder naming the practice, the date, and the time is generally treated as acceptable. A message referencing a diagnosis, a test result, or a treatment is protected health information and needs the full safeguards, a business associate agreement, and usually patient consent to receive it by text. The safest design keeps clinical detail out of the message entirely.

Do you need a BAA for appointment reminders?

If the vendor creates, receives, maintains, or transmits protected health information on your behalf, yes, you need a business associate agreement in place before going live. Because patient names paired with an appointment at a named practice can itself be identifying, most practices sign a BAA even when messages carry no clinical content. Ask for it in writing during evaluation, not after signature.

Do appointment reminders reduce patient no-shows?

Yes. Reminding patients shortly before a visit reliably lowers the miss rate compared with sending nothing, and it is one of the better supported findings in scheduling research. The size of the improvement varies widely by specialty, lead time, patient population, and how poor the starting point was, so treat any single precise percentage in a vendor advertisement as marketing rather than evidence.

How many appointment reminders should a practice send?

Two suits most practices. Send one several days out, which gives the patient enough notice to reschedule rather than simply vanish, and one the day before or the morning of, which catches the people who genuinely forgot. Long, high-value, or prep-heavy appointments such as procedures often justify a third at the time of booking. Past that you are training patients to ignore you.

What should a patient appointment reminder text say?

Name the practice, give the date and time, say what to do next, and include an opt-out. For example: "Hi Dana, this is Lakeside Family Dental confirming your cleaning on Tuesday, March 4 at 2:15pm. Reply C to confirm or R to reschedule. Reply STOP to opt out." Keep it inside one message segment, avoid links where you can, and never include clinical detail.

What is the difference between appointment reminder software and an appointment reminder service?

In practice the words are used interchangeably by buyers, but they signal different expectations. Software implies you configure and run it yourself. A service implies someone sets it up, manages the message templates, and handles the compliance registration for you. Ask which one you are buying, because a cheap self-serve tool and a managed patient engagement suite can differ by a factor of ten on price.

What is an automated text reminder service?

An automated text reminder service sends scheduled SMS messages before appointments without anyone pressing send. It connects to your calendar or practice system, applies your timing rules, handles carrier registration so the messages actually deliver, and records confirmations and opt-outs. The meaningful difference between providers is whether patient replies are answered automatically or simply collected for staff to read later.

Can patient appointment reminders integrate with our practice management system?

Depth of integration is the main reason healthcare-specific vendors cost more than general reminder tools. NexHealth and Solutionreach are built around reading and writing to practice systems directly. Lighter tools sync from a calendar feed, which is fine for reminders but means a reschedule may need re-entering. Ask specifically whether a change made in the message thread writes back to the schedule automatically.

Is dental appointment reminder software different from medical?

The messaging mechanics are identical. What differs is the integration target and the recall workflow. Dental vendors such as RevenueWell and Weave build around Dentrix, Eaglesoft, and Open Dental, and put heavy emphasis on six-month hygiene recall, which is a retention motion rather than a reminder. Medical vendors integrate with EHRs and weight intake forms and insurance verification more heavily.

Can a reminder system reschedule the appointment automatically?

Most cannot, and this is the single biggest functional gap in the category. Nearly every product will accept an inbound reply and put it in an inbox for a human. Very few read the request, check genuine availability, offer open slots, make the change, and confirm it. MessageAgent does this and escalates to staff only when a person genuinely has to make a judgment call.
