AppFolio prints $1.49 per unit a month on Core, $3.20 on Plus and $5.00 on Max, with a 50-unit minimum and a minimum spend it does not quantify. Propertyware vs AppFolio pricing at a glance

Both sell to professional companies managing rentals for other owners, and both bill per unit per month on an annual agreement. That is where the similarity ends. Propertyware is a RealPage product aimed at single-family and scattered-site portfolios, with dollar minimums high enough that most customers under 230 doors pay a flat floor. AppFolio covers residential, commercial and association portfolios with higher per-unit rates on its upper tiers and a minimum it leaves to the sales call.

Propertyware vs AppFolio cost per month at 50 to 1,000 units

Neither vendor publishes a calculator, so we multiplied. Propertyware cells are units times the rate or the monthly minimum, whichever is greater. AppFolio cells are units times the rate, which is a floor: AppFolio applies a minimum spend it does not print, so a small portfolio may be quoted above these numbers.

Three crossovers decide most quotes:

  • Propertyware Basic beats AppFolio Core from 168 units up. Below that, Basic's $250 floor costs more than Core's unit math. Above it, Basic's $1.00 rate wins by 49 cents a door, which is $490 a month at 1,000 units.
  • AppFolio Core beats Propertyware Plus at every size. Under 234 units Plus sits on its $350 minimum. Above that the rates are $1.49 against $1.50, so AppFolio stays a penny per door cheaper all the way up.
  • AppFolio Plus beats Propertyware Premium only below about 140 units. From there the $3.20 rate overtakes Premium's $450 floor, and from 225 units Premium runs at $2.00 against $3.20, so a 500-door manager saves $600 a month on Propertyware.

Compare the plans that text, not the cheapest plans

The cheapest Propertyware number hides a gap. The Basic card leaves out two-way text messaging, eSignature, inspections, maintenance projects and vendor portals. AppFolio lists Realm-X Messages on Core. For a manager who texts applicants and tenants from inside the system, which is most managers now, the fair match is AppFolio Core against Propertyware Plus, and on that match AppFolio is cheaper on paper at every door count.

The paper is the catch. AppFolio's footnote on Core reads "Minimum spend and 50 unit minimum apply," and on Plus and Max "Minimum spend and units apply," with no dollar amount on any card. Third-party reviews still quote older figures such as $1.40 per unit with a $280 minimum, which are not on AppFolio's page today. Propertyware prints its floor. So a 100-door manager knows the Propertyware Plus bill will be $350 a month plus a $700 setup fee, and has to ask AppFolio whether $149 is the real number or the start of a negotiation.

What the first year costs at 100 and 300 units

Propertyware's implementation fee of two times the monthly bill lands in year one, so the first-year gap is wider than the monthly one.

At 100 doors AppFolio Core's floor is about a third of Propertyware Plus in year one. At 300 doors Propertyware Basic is the lowest bill on the table if you can run without in-app texting, and Propertyware Plus is $936 a year above Core. Whatever you choose, budget for the data move: cleaning owner ledgers and security deposit balances before cutover is a common reason to hire a vetted freelance bookkeeper for a few weeks rather than pull your own accountant off month-end close.

How each handles rental leads and AI

This is where the bill tends to grow after signing.

Propertyware lists no AI product. Its leasing coverage is the Leasing Contact Center: people who take your leasing calls and emails, at $2.85 per unit per month plus $300 setup. That is more per door than any Propertyware software plan, and at 200 units it adds $570 a month.

Which should you choose

Choose AppFolio if you manage under about 170 doors, want texting and staff AI on the entry plan, or run a mix of residential, commercial and association units on one platform. Get the minimum spend in writing before you sign, because it is the one number that can move the comparison.

Choose Propertyware if you manage 250 or more single-family doors and want the lowest published per-unit rates, especially Premium at $2.00 against AppFolio Plus at $3.20. Budget the two-times setup fee, and plan on Plus rather than Basic if your team texts tenants.

In both cases the software of record does not answer a renter who texts about a listing at 9 p.m. on a Saturday.
