Zen Planner pricing starts at $99 a month for Zen Planner Studio with up to 45 active members and rises through eight member bands to $289 a month at 251 members and up. Essentials adds the website for exactly $99 more at every band ($198 to $388), and Ultimate adds the website and Engage marketing automation for exactly $249 more ($348 to $538). Engage alone is $249 a month, the branded app $39 and a card reader $39. Payment processing runs through Zen Planner Payments at a rate the page does not print.

Prices were read on zenplanner.com/pricing and its Active Member tiers page on 14 October 2026 from a US connection, in US dollars, month to month. Gymdesk and PushPress figures come from their own pricing pages, read on 14 and 13 October 2026. The arithmetic below is ours.

Zen Planner pricing by active members

Zen Planner charges for active members only, which it defines as anyone with a membership or who attended an event in the past month. Prospects, staff, alumni and pay-per-session attendees are not counted, and the bill adjusts by itself each month as your count moves. Every package includes all of Studio's features; the packages differ only in what is bundled on top.

The add-ons sold separately are Zen Planner Engage at $249 a month, the Website at $99, the branded member app at $39 and the Lane 3600 card reader at $39. There is also a New Business Bundle from $199 a month for gyms that are just opening, which includes Essentials plus the branded app. Multi-location pricing is set on a demo call by locations and total active members.

How much does Zen Planner cost per month?

A single-location gym with 76 to 250 active members pays between $189 and $269 a month for Zen Planner Studio. Add the website and the range is $288 to $368; add the website and Engage and it is $438 to $518. A 150-member CrossFit box that wants automated follow-up therefore budgets $478 a month before processing, the branded app and card readers.

Three patterns sit inside that table. First, the bundles have no discount except one: Essentials is Studio plus $99 at every band, the same as buying the Website alone. Ultimate is Studio plus $249 at every band, which is the price of Engage alone, so inside Ultimate the $99 website costs nothing. That makes Ultimate $99 a month ($1,188 a year) cheaper than Studio plus Website plus Engage bought separately. If you want Engage, never buy it without the website.

Second, the band edges are expensive. Member 46 raises the bill by $34, member 76 by $34 and member 101 by $40. Going from 150 to 151 members costs only $10, and 200 to 201 costs $30. If you sit a few members above a line, check whether frozen memberships are being counted as active.

Third, Zen Planner gets cheaper per head as you grow, from $2.20 a member at 45 to $1.08 at 250, but the top band starts at 251 and has no ceiling, so a 600-member gym pays the same $289 for Studio as a 251-member gym.

How much is Zen Planner Engage?

Zen Planner Engage is $249 a month as an add-on, or effectively $150 a month inside Ultimate once you count the free website. Engage covers automated email and text campaigns, lead capture and follow-up workflows, more than 100 prebuilt campaign templates, two-way member messaging and AI content generation. The pricing page describes its AI as campaign and content tools; it does not describe an AI that answers a new prospect in your Instagram DMs and books the trial class.

That is the gap a messaging agent covers. Our AI sales chatbot for gyms and boutique fitness answers the price, contract and schedule questions on Instagram, Facebook, text, WhatsApp and web chat as they arrive, books the intro on your calendar and hands the lead to a coach with the whole chat attached.

Is Zen Planner cheaper than Gymdesk?

No, Gymdesk is cheaper at every member count we checked. Gymdesk also prices by active members, but it includes the website on every plan, so the fair comparison is Zen Planner Essentials against Gymdesk on your own processor.

Active membersZen Planner StudioZen Planner EssentialsGymdesk, own processorGymdesk with Gymdesk PaymentsPushPress Core Pro
45$99$198$100$75$159
100$189$288$125$100$159
150$229$328$175$150$159
200$239$338$240$200$159
250$269$368$240$200$159

Like for like, with a website on both, Zen Planner Essentials costs $98 to $163 a month more than Gymdesk on your own processor. Our Gymdesk pricing breakdown lists every Gymdesk line, including the $50 extra location and the metered texting. One caution when you compare quotes: Gymdesk's page code still carries older member bands (101 to 200 and 201 to 400), so price sites that copied them quote a 180-member gym $150 a month when the live card says $200.

Against PushPress, Zen Planner Studio is cheaper on the plan fee up to 75 members ($99 to $155 against $159), and PushPress is cheaper from 76 members up, because its Core Pro price does not move with headcount. PushPress publishes its card rate (2.89% plus 30 cents on Pro); Zen Planner and Gymdesk do not publish theirs, and on a gym taking $25,000 a month in payments a 0.5 point difference in card rate is $125 a month, more than most of the gaps in this table. The full PushPress math is on our PushPress pricing page, and if Wodify is also on your shortlist, Wodify vs PushPress pricing runs the same gym through both.

What else does Zen Planner charge for?

Payment processing is the big one. Zen Planner works with preferred processors including its in-house Daxko Payments, says there is no setup or gateway fee with select preferred processors, and asks you to check current rates with its team. The rest is short: the branded app at $39 a month, EMV card readers at $39 a month each, and multiple locations quoted on a call.

When processing is the largest line in the bill, the monthly deposits need reconciling against your books. If your bookkeeper works in QuickBooks, you can convert the bank statement to a QuickBooks file rather than keying the processor deposits by hand.

Does Zen Planner require a contract?

No. Zen Planner runs month to month, with an annual contract available on request. Onboarding sessions and data migration from your old system are included at no charge, with a dedicated onboarding specialist. There is no self-serve free trial on the pricing page; every package leads to "Book a Demo" or "Get Started" with the sales team.

What a 150-member gym pays for software plus lead response

Take a 150-member strength gym that wants a website, automated follow-up and fast replies to new leads. On Zen Planner Ultimate that is $478 a month, and replies to a new DM still wait for a person. Zen Planner Essentials at $328 plus MessageAgent Growth at $199 is $527 a month, with an AI answering every channel in seconds. Gymdesk Medium on your own processor at $175 plus MessageAgent Growth is $374 a month, $104 less than Ultimate.

MessageAgent Growth is $199 a month, or $99 a month billed yearly, with 5,000 AI conversations and 10 seats for human handoff, and carrier and Meta fees passed through at cost. It does not replace your gym management software; your members still pay, book and check in there. It covers the conversation before someone becomes a member, the part where most leads go cold. Zen Planner pricing questions

How much does Zen Planner cost?

Zen Planner costs $99 to $289 a month for Studio, $198 to $388 for Essentials with the website, and $348 to $538 for Ultimate with the website and Engage, set by your active member count. The bands are 0 to 45, 46 to 60, 61 to 75, 76 to 100, 101 to 150, 151 to 200, 201 to 250 and 251 and up, according to zenplanner.com on 14 October 2026.

What counts as an active member in Zen Planner?

Anyone with a membership or who attended an event in the past month. Zen Planner says prospects, alumni, staff and pay-per-session attendees are never counted, and your bill adjusts automatically each month as the count goes up or down. You do not need to request an upgrade when you cross a band.

Is Zen Planner Ultimate worth it over Essentials?

Only if you would use Engage. Ultimate costs exactly $150 more than Essentials at every band, for automated email and text campaigns, lead workflows, templates and AI content tools. Bought separately, Engage is $249, so if you want it at all, Ultimate is the cheaper way to get it, by $99 a month.

Does Zen Planner charge setup or cancellation fees?

The pricing page lists free onboarding sessions and data migration and runs month to month with no long-term commitment. It does not mention a setup fee or a cancellation fee. Some third-party comparisons mention exit or website setup fees; we did not find either on Zen Planner's current pricing pages, so ask on the demo call.

Is the Zen Planner price on Capterra and G2 still right?

Partly. The $99, $198 and $348 figures on those sites match the smallest band, 0 to 45 members, and are presented as flat prices. Most gyms are larger and pay more. One widely shared article lists $267 for 251 members and up; the live page says $289.
